Privacy Policy
Zero Dark Claims LLC (“Zero Dark Claims,” “ZDC,” “we,” “us,” or “our”) is a software company that publishes self-help tools for U.S. military Veterans. This Privacy Policy explains what information the Zero Dark Claims website and software tools collect, how it is used, and how it is protected.

1. Scope
This Privacy Policy applies to zerodarkclaims.com, tool.zerodarkclaims.com, and any other Zero Dark Claims property that links to this Policy (collectively, the “Service”).
2. What we collect, and what we don't
2.1 Veteran content — not stored on our servers after your session
Content you type or upload into the tools — for example, your service history, dates, MOS, exposure information, conditions, symptoms, ratings, letter drafts, and any C-File pages you drop into the C-File Organizer — is processed in your browser session. Zero Dark Claims does not store this content on our servers after the session ends. Closing or refreshing the browser tab clears the session on our side.
This means you are responsible for downloading and saving any draft you want to keep. If you close the browser without downloading, the draft is gone.
2.2 Account and billing data — stored to run subscriptions
Paid tiers require a payment method. Payments are processed by our payment processor (currently Stripe). Zero Dark Claims does not see or store your full card number. We store the minimum information needed to operate a subscription, which typically includes:
- Your email address (for receipts and access management)
- A Stripe customer or subscription identifier
- Subscription status (active, canceled, expired), plan, and renewal date
- Purchase history at the plan level (which plan, when)
2.3 Operational and analytics data
Like most modern web services, the Service records limited operational data to keep the tools running and to understand how they are used. This includes:
- Server / hosting logs (Netlify, Cloudflare): request paths, timestamps, IP addresses, user-agent strings, and response codes. Used for security, rate limiting, and debugging. IP addresses may be truncated where feasible.
- Google Analytics 4 (measurement ID G-J29067K1F6): pageviews, referrers, device/browser class, general geography, and interaction events on public marketing pages. We have configured Google Analytics not to receive the content of your letters or C-File entries.
- Error monitoring: stack traces and non-sensitive request context when errors occur, so we can fix bugs.
We do not knowingly collect precise geolocation, biometric identifiers, or content of communications through analytics tooling.
2.4 Cookies and similar technologies
The Service uses cookies and similar storage for essentials such as keeping you signed in during a paid session, remembering plan status, running Google Analytics, and remembering non-sensitive UI preferences. You may block or clear cookies through your browser at any time; some paid features will not work without them.
3. AI model providers and third-party processors
Some Service features call third-party large-language-model (LLM) providers to help structure your inputs into a letter draft. When they are used, only the content you have chosen to submit is sent, and only for the purpose of returning a draft to you. Zero Dark Claims does not authorize model providers to use your content to train their general-purpose models, and configures LLM API calls accordingly where the provider supports that setting.

4. How we use information
We use information to:
- Operate and maintain the Service (host pages, run tools, prevent abuse)
- Provide, bill, and manage paid subscriptions
- Send transactional emails (receipts, subscription status, security notices)
- Understand aggregate usage to improve the product
- Comply with legal obligations and enforce our Terms of Service
We do not:
- Sell your personal information
- Use your Veteran content to train general-purpose AI models
- Use your Veteran content for advertising or profiling
- Share your Veteran content with data brokers or other advertisers
5. Sharing and disclosure
We share information only in these limited ways:
- Service providers listed in Section 3, acting on our behalf and bound by contracts appropriate to their role.
- Legal process: if required by valid legal process, we may disclose limited information necessary to comply. Zero Dark Claims does not accept service of legal process through the website.
- Corporate change: in the event of a merger, acquisition, or sale of assets, information may transfer to the successor entity, subject to at least equivalent privacy protections.
6. Retention
- Veteran content in the tools: not retained on Zero Dark Claims servers after the browser session ends.
- Account and billing data: retained while your subscription is active and for a reasonable period afterward to meet tax, accounting, and dispute-resolution needs (typically up to seven years for financial records).
- Operational logs and analytics: retained for periods defined by our hosting and analytics providers; typically weeks to months for full logs, longer for aggregated analytics.
7. Your choices and rights
Depending on where you live, you may have rights to:
- Request access to the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your personal information (subject to legal retention obligations)
- Opt out of certain analytics — you can block Google Analytics via browser tools or the official Google Analytics Opt-out Add-on
California residents — under the California Consumer Privacy Act (CCPA/CPRA), you may exercise the rights above and may authorize an agent to act on your behalf. Zero Dark Claims does not “sell” or “share” personal information for cross-context behavioral advertising as those terms are defined in the CCPA/CPRA.
To exercise any of these rights, email support@zerodarkclaims.com. We will verify your request using the email address associated with your account (or, for non-account users, using information reasonably necessary to verify your identity) and respond within the timeframes required by applicable law.
8. Security
We use reasonable administrative, technical, and physical safeguards to protect the Service, including TLS/HTTPS for all traffic, rate limiting, security headers, and audit logging without storing personally identifying content from your session. No system is perfectly secure, and we cannot guarantee absolute security.
9. Children
The Service is not directed to children under 13, and Zero Dark Claims does not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information, contact us and we will delete it.
10. International users
The Service is operated from the United States. If you access the Service from outside the United States, you understand that your information will be processed in the United States, which may not offer the same level of data protection as your home jurisdiction.
11. Changes to this Policy
We may update this Policy from time to time. When we do, we will update the “Effective date” above and, for material changes, will provide reasonable notice on the site. Your continued use of the Service after an update constitutes acceptance of the updated Policy.
